Estimate vs Quote: What Contractors Should Know

AgentForms · 2026 06 17 · 3 min read

Contractors use "estimate" and "quote" interchangeably. They shouldn't. The difference matters for your business and your legal protection.

What's the difference?

Estimate — Your best guess at the cost. It's approximate. You can't guarantee the final price because you haven't done the full scope analysis yet.

Quote — A fixed price offer. If you say $5,000, that's the price. Scope changes are separate, but the quoted work stays at that price.

When to use each

Use an estimate when:

  • You haven't inspected the site yet
  • There's potential for hidden issues (old homes, structural work)
  • The scope isn't fully defined

Use a quote when:

  • You've done the walkthrough
  • You can price materials and labor accurately
  • The scope is clear and fixed

Why this matters for your forms

Your client intake form should ask whether the client expects an estimate or a quote. This sets expectations before you do the work. AgentForms templates are built to generate both — just change a word and you're covered.
